How to make the iPos presentation data

1. Creating slides using PowerPoint
Create iPos files for presentation using PowerPoint 2000, 2002, or 2003. For the 2007 version, and register the file saved in the 2003 format. Select "Save as > PowerPoint 97-2003 presentation."

Create files of up to 100 MB, including video files. There is no restriction on the number of slides in the presentation data to be registered.

The presentation time will be 5 min. and question and answer time will be 2 min.

2. Inserting videos into PowerPoint
If you use video files, save them in the same folder as that of the PowerPoint file, and insert them on the slide by selecting "Insert > Video and sound > Video from file." When you register the file, register the video files in addition to the PowerPoint file.

Video files can be registered up to a size limit of 100 MB in total.

The presentation time is limited to five minutes. The total size of the PowerPoint file and video files should not exceed 100 MB. If the size of a file is 100 MB or less, there are no limits on the size of video files.

3. Registering the data

You will be able to register your PowerPoint file from this webpage, http://aplar.ipos2008.com/, after Aug. 1 (Fri.). Even after you have registered, you can correct the file as many times as you want before the closing time for registration, Aug. 31 (Sun.) Noon, Japan time.

4. Data registration procedure
    (1) Register the PowerPoint file and video files (video files are optional).
    (2) The time required for file registration is approximately two minutes per 1 MB for ADSL, and 15 seconds per 1 MB for optical fiber.
    (3) After registration has been completed, the files will be automatically converted to Flash format (for convenience when browsing files). The conversion, however, occurs on the server side, so press the [Log out] button, temporarily interrupting the registration process.
    (4) Once the conversion to Flash format has been completed, you will be notified by email. If you receive notification of conversion completion, log on to the registration page again.
    (5) Preview the slides.
After the preview completed, press the [Complete the Check] button. If you do not press the [Complete the Check] button, the system will not be aware that registration has been completed.

5. Correcting the registered data
You can correct the file as many times as you want prior to the closing time of registration, Aug. 1 (Mon.) Noon, Japan time. After logging on, press the [Register the Correction] button, and register the corrected file again.

6. Others
1. Create slides using PowerPoint. (landscape-oriented)
2. Set the size of the slide to "Fit to screen."
Carry out the check using the following procedure:
      (1) Open the PowerPoint file.
      (2) Select "Page settings" on the file menu.
      (3) Check "Specify the size of slide" in the page-setting window.
If an item other than "Fit to screen (size)" is selected in step (3), the file position information cannot be properly accessed, causing layout inaccuracies.
3. Be sure to uncheck "Date and time" and "Footer" after clicking "Insert > Date and time > Slide." The wrong items may be displayed after conversion.
4. Animation function of PowerPoint is not available. (When the PowerPoint file is converted to the Flash format, the animation function does not carry over.)

FAQ

Is the video supported?
Yes. The video formats shown below are supported.
    WMV (Recommended)
AVI, MPEG1, MPEG2(Windows Media Player 11 are available)
    Quicktime (Cinepack compressor)

I created the file using the Macintosh version of PowerPoint. Is that okay?
If the creation method and video format are the same as that of Windows, the file will be supported, even if created with the Macintosh version of PowerPoint. However, PCs to be used on the day of the meeting will only have Windows OSes. Because Macintosh fonts are converted to Windows standard fonts, layout may be misaligned on the day of the meeting. Be sure to open the file using the Windows version of PowerPoint and check the layout in advance.

Why is the Flash Player installed?
With iPos, presentation data can be browsed on the iPos corner PCs, or on PCs brought by participants to the iPos corner. iPos is designed so that browsing can be done efficiently, even if video and picture files are excessive.
Flash Player, the world standard of web technology, is used for lightening file size of the presentation data. Version 8 or higher (version 9 is the latest) is recommended for efficient browsing video files.

I would like to know the details on presentations with iPos.
You will deliver presentations using a plasma display with iPos, in addition to the browsing on PCs. The slides used in the presentation are automatically created when you register the file in iPos, so you do not have to prepare them separately. All you have to do is cast the slides on the plasma display at the podium and orally make presentation. It is similar to the regular oral presentation.

How is the presentation carried out?
The presentation time is five minutes, and discussion time is two minutes per presentation.

Can I see the presentation outside of the conference room?
Participants are able to see presentations only in the iPos corner. There is, however, an area where wireless LAN can be used in the Pos corner, so you can browse iPos using your PC. In order to do this, you must sign a consent form on copyright protection. The illegal use of files (resale, copy, reprint, etc., without permission) is strictly prohibited.

Can I ask a question using email?
You can send your question to the first author from the iPos browsing screen during the meeting.

There seems to be a file size restriction for files to be sent. How can I send a large file?
If you have any inquiries in iPos, please contact our support desk at support@aplar.ipos2008.com.

Videos cannot be played in the preview.

Check that the video file name does not contain Japanese characters. It must consist of only English one-byte characters.
If you change a video file name, it is necessary to re-insert the video file in the PowerPoint slide and then register the PowerPoint file again.
Do not use commas (,) or quotation marks ("") in file names.

If you have any inquiries, please contact our support desk at support@aplar.ipos2008.com
